How to Write a Cold Email to a Journalist That Gets Opened

The average journalist gets 300+ emails per day. Most get deleted without being opened. Your cold email has about 3 seconds to earn a click.
Here's how to write one that works. These are the principles behind every pitch that's landed me coverage in Forbes, NYT, and GMA.
The Subject Line
This is the single most important element. If the subject line doesn't work, nothing else matters.
Rules:
- Under 8 words
- Specific (numbers, names, credentials)
- Newsworthy (why now?)
- No clickbait
Examples that worked:
- "Video Dating App Hits #1 on Product Hunt"
- "Pediatrics Chair Survives COVID - Op-Ed Pitch"
- "21-Year-Old's Platform Hits 10K Users"
Examples that don't work:
- "Exciting startup looking for coverage"
- "Press release: Company X announces Y"
- "Quick question about a story"
The Opening Line
Don't start with yourself. Start with the journalist.
Good: "I read your piece on virtual dating trends last week - really insightful take on the post-pandemic shift."
Bad: "My name is [Name] and I'm the CEO of [Company]..."
The opening line proves you've done your homework. It shows respect for their work. And it earns you the next 10 seconds of attention.
The Pitch (3 Sentences Max)
You have one paragraph to deliver the story. Three sentences:
- What's happening: The news, event, or milestone
- Why it matters: The broader significance or trend
- Why you: What makes you the right person to tell this story
Example: "Our dating app just caught 400+ scammers using live video verification - a first in the industry. As dating app fraud hits record levels, we've built a system that makes catfishing impossible. I'd love to share the data and the story behind how we did it."
That's it. Don't include your company history, your full bio, or your investor list. If they're interested, they'll ask.
The Proof Line
One line of credibility. Not a paragraph - one line.
Examples:
- "We've been featured in TechCrunch, BBC, and NYT and just crossed 2 million video dates."
- "I previously built and sold a company and have facilitated 200+ media features for founders."
The Ask
Clear and simple. Give them two options:
"Happy to jump on a quick call this week, or I can send over more details and assets - whatever works best."
Don't ask for a feature. Don't assume they'll say yes. Just make the next step easy.
The Full Template
Subject: [Specific Number] + [Newsworthy Hook]
Hi [First Name],
[One line about their recent work.]
[Three-sentence pitch: what, why it matters, why you.]
[One line of proof/credibility.]
Happy to chat this week or send more details - whatever's easiest.
Best, [Your name] [Your title - keep it short]
Total length: Under 150 words.
Common Mistakes
1. Too long. If your pitch email is more than one scroll on mobile, it's too long.
2. Attachments. Never attach anything to a cold email. It triggers spam filters and journalists won't download them.
3. Mass emails. "Dear journalist" or "Dear editor" is instant delete. Personalize every single pitch.
4. Following up with "just checking in." Every follow-up should include a new angle or data point. "Just checking in" adds zero value.
5. Pitching the wrong person. A tech reporter doesn't cover food. A health reporter doesn't cover fintech. Match your story to their beat.
